Job Summary:
Kubik Maltbie is looking for a Project Scheduler that will play a critical role within our team, responsible for developing, managing, and executing project plans that ensure successful project delivery within scope, budget, and timeline. This role requires a highly organized and detail-oriented individual with strong communication and problem-solving skills. The Project Scheduler will work closely with cross-functional teams, including Project Management, Drafting, Interactives, Graphics, AV, Production and Operations, to coordinate resources, track progress, and mitigate risks.
Key Responsibilities:
- Develop and maintain detailed project schedules using project management software (e.g., Microsoft Project, Primavera P6).
- Develop comprehensive project plans, including scope, objectives, timelines, budgets, resource allocation, dependencies, critical path and risk assessments, using appropriate project management methodologies
- Monitor project progress and proactively identify potential schedule delays or resource constraints, manage potential project risks and develop mitigation strategies.
- Support Project Managers in managing project budgets and tracking actual costs against planned budgets.
- Assist Project Managers with the change order process, including documentation, cost estimation, and schedule impact analysis.
- Contribute to the continuous improvement of project planning processes and tools.
- Communicate project status updates to management and stakeholders regularly, including progress reports, risk assessments, and change requests.
- Participate in project meetings and provide planning support and effective communication among team members.
- Identify opportunities for process improvement and contribute to the development of best practices for project planning and execution.
- Contribute to resource planning and allocation across projects.
- Support the development of project proposals and bids.
- Utilize project management software and tools effectively.
Key Results Areas (KRAs):
- Schedule Adherence: Achieve and maintain project schedule adherence targets (e.g., on-time completion of key milestones, overall project completion within planned timeframe).
- Budget Control: Support Project Managers in achieving project budget targets and minimizing cost overruns. Contribute to accurate cost forecasting.
- Resource Utilization: Optimize resource allocation to maximize utilization and minimize downtime.
- Change Order Management: Support efficient and accurate processing of change orders, ensuring minimal impact on project schedule and budget.
- Project Documentation: Maintain complete and accurate project documentation, including schedules, resource plans, and change orders.
- Stakeholder Satisfaction: Contribute to positive stakeholder experiences through effective communication and proactive problem-solving.
Qualifications:
- Bachelor’s degree in Engineering, Business Administration, Project Management or equivalent experience.
- 3-5 years of experience in project planning and management, preferably in areas of exhibit development, fine carpentry and fabrication.
- Proven ability to develop and execute project plans that meet project objectives.
- Strong understanding of project management methodologies.
- Proficiency in project management software and tools (e.g., Microsoft Office Tools, Microsoft Project, Primavera P6, Procore Tools).
- Excellent communication, interpersonal, and collaboration skills.
- Strong analytical and problem-solving skills.
- Ability to work independently and as part of a team.
- Detail-oriented and highly organized.
- Ability to manage multiple projects simultaneously.
- PMP certification is a plus
